7 Tools I Actually Use in My Squarespace Web Design Business

    As a digital business strategist and web designer who's spent countless hours testing tools and systems (and maybe a few too many hours reading software reviews ), I'm sharing some of the business tools I genuinely use and recommend.

    These are the platforms and resources that have earned their place in my daily operations - and more importantly, actually deliver results.

    Contract Management

    So, contracts. They're kind of a big deal for service providers, but finding the right templates can feel like trying to pick a Netflix show when you're already tired (overwhelming and you just want someone to decide for you LOL). Most options out there are either suspiciously basic or written in what I like to call "lawyer-ese" - you know, where you read the same paragraph three times and still have no idea what it means?

    You know when you see a cool feature on someone's website and think "I wish my site could do that"? Will's plugins are often the answer. They let you add fun, useful, and sophisticated features to Squarespace without diving into complex code.

    Perfect for: When you want your brand to have personality without going overboard

    Finding the right fonts is surprisingly tricky - too basic and you blend in with everyone else, too fancy and suddenly your website looks like a circus poster. Enter Jen Wagner, basically the font whisperer of the design world. I love her stuff so much. Her library is massive (we're talking 60+ font families!) and somehow every single one hits that sweet spot between personality and professionalism.

    Honestly, you could close your eyes and pick any JWCo font and end up with something that looks amazing on both your website and your social graphics. Her fonts have this magical quality of looking current without feeling trendy - so you won't need to rebrand in six months when the latest font fad dies out 😅

    Email Marketing

    Kit (formerly ConvertKit)*

    Perfect for: Growing your email list without getting a headache

    Email marketing can feel overwhelming fast - one minute you're sending a simple newsletter, the next you're trying to figure out automation sequences and wondering if you need a degree in computer science.

    Kit makes all of this manageable. It's great if you're building your list up to 10K subscribers because it grows with you. The automation features are actually fairly intuitive (a rare thing in email marketing land), and they make it easy to be personal in your emails even as your list grows.

    What to Think About When Choosing Tools

    Before you add any new tool to your stack, ask yourself:

    • Will this solve a specific problem I'm having right now?

    • Do I have the time to learn how to use it properly?

    • Will it play nice with my other tools?

    • Can it grow with my business?

    • Does the cost make sense for where I am?

    The best business tool is one you'll actually use.

    Planning your tech stack is kinda like building a great Spotify playlist – it's tempting to add everything at once, but the best ones come together thoughtfully over time. Focus on tools that make your day-to-day smoother (and save the shiny-but-unnecessary ones for your wishlist).
